So that large amounts of data can be managed within a computerized database, the data is arranged into fields, records and files. * A field is an item of data kept in a record. Fields can hold different types of data, e.g. numeric (1, 2, 3) or character (a, b, c, 2a, 2b). * A record is a collection of related fields holding all the data about one person or object, e.g. A person's name, address, telephone number, date of birth and hotel membership details. * A file contains all the records under one category, e.g. a membership file containing details on all members. Databases are very useful when items of data need to be found quickly from large amounts of stored information. Database can be searched to produce reports on selected items.
